  • Overview

    Provide administrative and technical support to our proposal managers, estimators and project managers across the organization by following up on action items relating to technical proposals and estimating.

     

    The Estimating Assistant will help with managing the entire proposal and estimating pursuits beginning in the RFP stages, through development, color team submissions, and continuing through post-submission clarifications until project award. The individual will work with teams comprised of technical subject matter experts, management personnel, designers, estimators, and contractors.

     

    Proposal and Estimating teams work within stringent time frames to meet proposal deadlines. The Estimating assistant will also act as technical/compliance writer tasked with writing and/or overseeing all aspects of the proposal package. He/she is responsible for ensuring that the final documents are completed, well organized, professionally presented, and compliant with all contractual and design requirements.

     

    The position of Estimating Assistant requires that the candidate be detail-oriented in order to ensure all aspects of the proposal or estimate are compliant, correct, and complete. This position also requires the candidate to multi-task numerous competing deadlines; therefore, candidate should be proactive and be able to work independently. Candidates must be meticulous with recordkeeping and file management in order to draw from the company’s past experience when creating bids and proposals. Finally, the successful candidate will have excellent communication skills in order to keep the bid team up-to-date and informed at every phase of proposal development.

    Responsibilities

    The Estimating Assistant essential Duties and Responsibilities are listed below:

    • Reviews and interprets RFP requirements to develop comprehensive, compliant proposal outlines and templates.
    • Collaborates with project managers and field team to brainstorm strategy and approach and ensure decisions are captured in proposal outlines, templates, and other documentation.
    • Tracks RFP and amendment releases, and routes all RFP documents to appropriate filing locations and proposal team members.
    • Performs a comparison analysis between RFP and amendments and updates proposal documentation with revised requirements and strategy as necessary.
    • Initiates and performs research on topic to aid strategy and technical development
    • Analyzes existing boilerplate against narrative requirements to determine what additional resources are necessary to complete proposal sections, including specific subject matter expert needs.
    • Leads and performs subject matter interviews to capture technical approach and methodology. This could include e-mail, phone, and in-person interviews.
    • Writes and edits original text, tailoring boilerplate, and rewriting third-party contributions to fulfill RFP requirements
    • Edits for grammar, spelling, factual accuracy, clarity;
    • Formats documents in Microsoft Word, Excel, PowerPoint, and Publisher, and Adobe InDesign and Acrobat according to RFP requirements
    • Develops graphics (for e.g., flow charts, matrices, Org Charts) to present concepts
    • Maintains organized files and drafts of work in appropriate locations
    • Directs the production and packaging of proposal documents for formal reviews, when assigned.
    • Works with the Proposal Coordinator to work with Red Team Reviews; leads all review team changes in assigned proposal sections.
    • Researches and drafts proposal boilerplate independent of assigned proposals.
    • Maintains current contractor’s licenses State by State.
    • Contacts subcontractors to solicit/follow up on bid requests as needed.
    • Maintains databases and access sites for upcoming bids.
    • Performs related work as assigned.

    Qualifications

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     • A Minimum of 2-3 years of fulfilling estimating roles involving RFPs, bid documents, proposals, and coordinating and compiling information and drafts for estimating.
    • Excellent written and oral communication skills in the English language
    • Highly organized, detailed oriented, and display strong time-management skills.
    • Advanced proficiency in Microsoft Word, Excel and Power Point; intermediate proficiency in (In Design) is a plus.
    • Ability to work well under pressure, meeting tight, multiple, and sometimes conflicting deadlines.
    • Ability to set priorities and multi-task.
    • Associate degree in Construction Management, Civil Engineering, Communications, Journalism, or English (Degree preferred)
    • proficient in writing
    • Familiarity with the construction industry
    • Be self-motivated and able to work with limited supervision and as a team player
    • Familiarity with UDOT and CDOT Design Build and CMGC proposals is preferred.
